Description
The Accounting Clerk supports financial operations by performing a variety of accounting, bookkeeping, and administrative tasks. It involves recording of transactions, reconciling accounts, maintaining financial records, and assisting with budgeting and reporting. This role ensures accuracy, timeliness, and compliance with internal policies, accounting standards, and nonprofit regulations, working closely with the Chief Financial Officer (CFO) of Butterfield Memorial Foundation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Prepare and process invoices, expense reports and reimbursements.
- Record daily financial transactions and maintain general ledger entries.
- Process accounts payable and receivable transactions.
- Assists with mortgage tracking, ensuring database is maintained for all Butterfield projects and charitable gifts.
- Prepare bank deposits and take them to the bank.
- Assists with bank reconciliations and monthly, quarterly, and annual financial reports.
- Supports budgeting and forecasting processes.
- Assist with year-end closing, audit preparation, and annual filings.
- Assist with donor contribution tracking and reconciliation.
- Support grant tracking, reporting, and compliance requirements.
- Liaison for fiscally sponsored projects and charitable gifts. This includes setting up donor profiles, entering donations, and receipting through Foundant
- CommunitySuite. Responsible for project payouts, assisting with website portal inquiries, sending out project updates via MailChimp, setting up fundraisers, etc.
- Compose and distribute professional correspondence, memoranda, and emails.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Performs a variety of complicated tasks and other duties as assigned by supervisor.
- Performs other related duties as assigned by management.
Requirements
EDUCATION and/or EXPERIENCE
- Associate or bachelor’s degree in accounting, finance, or related field (or equivalent experience)
- Minimum of 2-3 years of bookkeeping or accounting experience.
- Understanding of nonprofit accounting principles and accrual accounting.
- Understanding of accounting software (e.g. Quickbooks, Foundant CommunitySuite, etc.
- Hands-on experience with accounts payable, accounts receivable, payroll processing, and bank reconciliations.
- Experience preparing financial reports, including income statements, balance sheets, and cash flow summaries. Familiarity with expense tracking, budgeting, and month-end close procedures.
- Proven ability to maintain accurate records, manage deadlines, and handle confidential information with discretion.
- Experience with grant tracking and donor management systems a plus.
SKILLS & QUALIFICATIONS REQUIRED
- Proficiency in Office 365 and QuickBooks Online (Excel and Pivot tables a must)
- Experience with Foundant CommunitySuite preferred; understanding of MailChimp a plus.
- Knowledge of grant accounting and restricted funds.
- Detail-oriented with organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
- Ability to understand and follow written and verbal instructions.
- Strong interpersonal skills; able to effectively work with a diversity of individuals at all organizational levels.
- Good judgement with the ability to make timely and sound decisions.
- Creative, flexible, and innovative team player
- Ability to work independently and as a member of various teams.
- Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
