Job Summary
Are you ready to lead organized, meaningful volunteer experiences that expand the Regional Food Bank of Oklahoma’s ability to serve the community? You will oversee Volunteer Center operations, guide staff, strengthen volunteer recruitment and coordinate coverage across service areas, locations and events while maintaining high standards for service, safety and customer care. This role combines staff leadership, volunteer coordination, operational planning, problem-solving and day-to-day communication. What success looks like in the first 6–12 months includes dependable staff and volunteer coverage, safe and efficient production, increased volunteer participation, accurate scheduling and reporting systems, effective employee training and respectful experiences for volunteers, staff and visitors
A Day in the Life
The essential functions described below represent the primary responsibilities of this role and may be performed with or without reasonable accommodation.
Team Oversight:
- Supervise staff each day so operations stay organized, consistent and responsive to volunteer and production needs.
- Set clear expectations and hold staff accountable so duties are completed correctly and performance stays reliable.
- Provide constructive feedback, encourage professional growth and document ongoing performance concerns to maintain fair, timely performance management.
- Create monthly schedules for coordinators and leads so coverage stays dependable across shifts, events and daily operations.
- Plan the weekly production schedule and complete the production board so daily work matches current operational needs.
- Step into Coordinator, Lead or Volunteer Relations duties when needed so service and production continue without disruption.
- Serve as the main contact for volunteer center requests, and hire, train and develop staff to maintain team capacity.
Operations and Planning:
- Coordinate staff, volunteers, projects and equipment so production meets product demand safely and on schedule.
- Create volunteer recruitment strategies so capacity grows steadily and community participation remains active.
- Manage the cost center budget and quarterly forecasts so spending decisions stay informed and fiscal performance remains on track.
- Document best practices and improve processes so work stays consistent, efficient and easier to repeat.
- Help shape and communicate strategic goals so staff understand priorities and daily work connects to broader plans.
- Pass along direction and updates so people have the information needed to act, respond or escalate concerns.
- Meet weekly with sourcing and inventory teams to confirm production needs so schedules reflect current product priorities.
Safety and Compliance:
- Ensure sanitation and food safety procedures are followed so products, volunteers and staff remain protected.
- Conduct safety investigations and address concerns so hazards are corrected and future incidents are reduced.
- Oversee AIB compliance and inventory management so audit readiness and product accountability remain in place.
- Oversee forklift and rider jack operations so equipment is used safely and work moves efficiently.
- Maintain facilities at or above Good Manufacturing Process requirements so the work environment stays safe and compliant.
- Work with the EHS Manager on occupational, food safety and AIB readiness improvements so risks are addressed early.
Volunteer Recruitment and Engagement:
- Determine monthly volunteer capacity so scheduling decisions reflect space, staffing and production needs.
- Schedule, plan and oversee internal and external packing events so volunteer work is organized and productive.
- Address volunteer grievances, issues and derogatory behavior so concerns are handled promptly and the environment remains respectful.
- Provide tours and hunger simulations upon request so volunteer groups better understand the organization’s work and community impact.
- Oversee community service volunteers so documentation stays accurate and program requirements are met.
- Review court-appointed requests and approve or deny participation based on offense severity and type.
- Develop volunteer recruitment and retention strategies so participation remains steady across programs and events.
- Manage recruitment for the Volunteer Center, Hope’s Kitchen, Moore Food and Resource Center, Senior Pantries and special events.
- Maintain customer service standards in the Volunteer inbox so inquiries receive timely, respectful and useful responses.
- Organize recognition and retention events so volunteers feel valued and return to serve again.
- Oversee the volunteer registration platform so scheduling runs smoothly and volunteer data stays accurate.
Training and Improvement:
- Maintain and evaluate coordinator training procedures so instruction stays current, clear and effective.
- Ensure new hires are prepared to coordinate volunteers so they can work safely, confidently and independently.
- Put best practices into daily use so the Volunteer Center sets a clear example for volunteer experiences and production.
- Develop and maintain production metrics and reporting systems so results can be tracked and addressed promptly.
- Identify improvement opportunities in production, staff performance, culture and volunteer experience so daily work keeps getting better.
Leadership Responsibilities:
- Establish clear performance expectations and priorities to align daily work with department and organizational goals.
- Coach and evaluate employees using regular feedback, structured reviews and clear development steps tied to role requirements.
- Demonstrate inclusive, missionoriented conduct through ethical behavior and respectful communication that reinforces accountability.
- Manage performance outcomes by setting measurable goals, tracking progress and addressing concerns using policy and employment law.
- Carry out equitable talent practices through consistent hiring, onboarding, engagement and retention activities aligned to program and funding needs.
- Communicate priorities and change initiatives using plain language and clear guidance for team members and crossfunctional partners.
- Maintain compliance and stewardship by following policies, legal requirements and funding guidelines and engaging Human Resources when needed.
- Foster a highperforming, valuealigned team culture by demonstrating consistent leadership behavior, reinforcing expectations and addressing behaviors that impact engagement, trust and performance.
- Derive and examine data insights to inform team decisions, track goal progress and guide daily operations.
- Review and approve team expenditures, ensuring alignment with departmental budgets.

Requirements
Required Qualifications
How you have spent your time:
- Demonstrated completion of a bachelor’s degree in nonprofit management, business administration, operations management, human resources or a
related field, or equivalent combination of education, training and relevant professional experience. - Minimum of three years of experience managing staff in volunteer operations, customer service, nonprofit operations, warehousing or similar
environments. - Experience coordinating schedules, daily workflows and coverage across people, events or operational activities.
- Applying workplace safety practices, documenting concerns and following established procedures in active work environments.
- Ability to prepare clear written records, reports and routine correspondence and communicate effectively with varied audiences.
- Experience organizing multiple priorities, meeting deadlines and maintaining accurate work across changing daily demands.
Other Requirements:
- Proficiency in common office applications and job-specific systems used for communication, scheduling, reporting and recordkeeping.
- Valid driver’s license with a driving record that meets organizational standards.
- Ability to learn and adapt to new technologies.
- Ability to complete a background check, motor vehicle record review, drug screening and physical assessment as required for the role.
- Ability to obtain and maintain forklift certification if assigned to operate powered industrial equipment.
Safety Sensitive Designation:
This position is classified as Safety Sensitive under Oklahoma law. Employees in safety-sensitive roles perform duties where even a momentary lapse in concentration could result in injury to themselves, others or cause environmental harm. The Regional Food Bank of Oklahoma is not permitted to hire applicants who hold a medical marijuana card for safety-sensitive positions, in compliance with state law.
Preferred Qualifications
How you have spent your time:
- Experience working with volunteers in a nonprofit, food bank, retail, warehouse or community service setting.
- Experience coordinating group events, service projects or high-volume scheduling activities.
- Familiarity with food safety, sanitation, inventory or audit-related practices in an operational setting.
- Experience using volunteer management, scheduling, customer relationship management or similar tracking systems.
- Forklift certification or prior experience working around warehouse or distribution equipment.
Physical & Environmental Expectations
This position requires sustained physical effort and frequent changes in position in warehouse or operational settings. Responsibilities may include safely operating forklifts, pallet jacks and other heavy equipment and moving objects weighing 50 to 100 pounds occasionally, 25 to 50 pounds frequently and 10 to 20 pounds constantly using appropriate techniques or mechanical aids. Employees must be able to access elevated or restricted work areas, recognize signals and alarms, communicate in environments with background noise and maintain concentration during equipment operation. Personal Protective Equipment must be worn when required. Work may occur indoors or outdoors in industrial environments with exposure to temperature changes, weather, dust, chemicals, gases, fumes, smoke, noise and vibrations. The role does not involve regular travel, although occasional trips, schedule adjustments, unscheduled operational needs or participation in a rotating on-call schedule may be required.
