Position Description
Position Title: PAYROLL / HR SPECIALIST
General Summary
This position's responsibilities include, but are not limited to, preparing employee payroll in a timely accurate process, providing benefit information, processing payroll deduction payments, preparing state reports and maintaining records, and coordinating with Human Resources on integrated tasks and responsibilities while using knowledge of current laws, policies, and contracts.
Qualifications
Minimum high school diploma or equivalent.
Possess a working knowledge of basic bookkeeping and accounting procedures, minimum three years payroll experience (school district) preferred
Accurate and efficient typing skills
Demonstrated skill and accuracy with 10-key.
Skilled in computer operation and programs, specifically Word and Excel
Knowledge of federal and state laws pertaining to payroll.
Familiarity with Employee Benefits, Insurance, Retirement Plans, and/or Investments preferred
Proficiency in business English – composition, grammar, punctuation, and spelling.
Ability to:
Work effectively independently and on a team-prioritize tasks and show initiative.
Relate and communicate effectively.
Exercise pleasant and tactful telephone manners.
Respond to and send emails that are clear, courteous and efficient
Understand and follow oral and written instructions.
Maintain satisfactory attendance.
Essential Functions
Monthly:
Compile and input, with accuracy, monthly timesheets for employees and substitutes, including sick leave, vacation, other leave, unpaid, and additional pay.
Assist staff and secretaries with questions related to automated substitute program.
Act as sub coordinator as needed.
Work with secretaries on payroll related questions.
Balance pay with adjustments using Excel spreadsheets and computer reports.
Determine and process mandatory payroll deductions
Process voluntary payroll deductions
Verify payroll vendor billings for accuracy. Process and distribute payments.
Maintain payroll records for employees and payroll reports.
Administer, maintain, and coordinate all benefits for employees.
Determine eligibility, distribute and explain information, payments, adjustments, and record-keeping.
Prepare payroll warrants and/or direct deposits for distribution to employees.
Cross-train on specific Human Resources integrated tasks and complete specific Human Resources tasks as assigned.
Yearly:
Assist with new employee orientation, share essential information in a large group setting
Verify contract pay for employees in September and adjust as needed.
Process annual sick leave cash-out in accordance with laws and policies.
As Needed:
Process garnishments and understand laws.
Prepare 941 deposit and direct deposit transfer.
Process FMLA, WPFML, leave requests, and shared sick leave in accordance with laws and policies.
Review Unemployment claims.
Provide information on payroll and benefits information for individual staff situations.
Assist with training principals and secretaries on payroll processes.

Ability to communicate effectively orally and in writing.
Ability to perform under conditions of constant interruptions and deadline pressure.
Ability to maintain confidentiality sensitive information, and display loyalty and integrity.
Ability to establish and maintain positive relationships with others
Ability to work both independently and as a team member
Physical Demands:
May be exposed to display terminal for prolonged periods of time.
May require lifting and prolonged standing or sitting.
Reporting Relations: Reports to Director of Finance & Operations

260 days per year (including vacation and holidays)
14 paid holidays
Vacation as per schedule
Rate of pay $39.59 - $51.90/hr, depending on verified payroll/benefits experience
