- HR Payroll - Senior Associate
Description
HR Payroll Senior Associate is responsible for overseeing weekly payroll processes and ensuring strict compliance with all applicable regulations. In addition, this role coordinate and administers HR Programs and initiative within BB HR Key Functional areas.
Requirements
Payroll Administration
- Responsible for the transmission and processing of weekly payroll in the HRIS system for the Teamsters employees (Drivers and Warehouse) and serve as a backup for Office Non-Union and Sales Union hourly and salaried employees in Paycom System.
- Maintains payroll information by designing systems, directing the collection, calculation, and entering of data.
- Prepared timecards, including weekly paid time off processing, Workers’ compensation cases, LOA’s, increases and other HR-related issues prior to each payroll transmission. Reviews and Approves all Payroll exceptions and balances the payroll accounts by resolving payroll discrepancies.
- Ensures accuracy of W-2s and supports ACA requirements (1095c).
- Create reports as needed for reconciliations of various audits and/or state and federal laws compliance.
- Ensures payroll reports accurate recording and timely payment of payroll liabilities.
- Maintains payroll guidelines for the Teamsters population by writing and updating policies and procedures (SOPs).
- Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
- Compliance and reporting for (Health and Pension funding) per CBA in a timely manner.
- Continuous auditing and analysis of the overall payroll function for Teamsters (Warehouse/Drivers)Union employees.
- Responsible for review and audit payroll payments and performs account reconciliations for Teamsters reporting with HR Director’s approval.
Human Resources Operation
- Responsible for HR Records Retention system and compliance. including employee files administration by maintaining files, documentation, and databases in alignment with company policy and Human Resources best practices.
- Maintain sales employees’ Certificate of Insurability tracking database to ensure compliance.
- Administer Pre-employment Background Check and drug screening process for the Teamsters’ population.
- Responsible for the intake of the processing of the First Incident Report Injury Form for the Teamsters population.
- Responsible for Company’s Workers Compensation data entry for Teamsters.
- Set-Up New teamsters’ employees on Compliance Training database.
- Set-up New employees on Certificate of Insurability (COI) portal.
- Responsible for preparing HR documentation packages for HR Director (new employees, transfers, or terminations of employment) for Teamsters.
- Participate in new hire orientation 30/60/90 HRIS Paycom system employee training.
- Assist HR Director with Company’s HR Policies and Procedures process development and/or updates.
SKILLS and ABILITIES
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes in alignment with relevant legal regulations in a multi-union environment.
- Strong understanding of HR processes and strong data management skills.
- Attention to detail and ability to maintain confidentiality.
- Excellent communication, organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Proficient in Microsoft Office: Excel, Word, PowerPoint, Outlook, Teams
EDUCATION and EXPERIENCE
- 5-10 Years of Experience in similar roles.
- Degree in business administration, accounting, or finance preferred.
- SHRM/HRCI and Payroll certifications a plus.
- Strong knowledge and understanding of relevant legal regulations. in a multi-union environment.
- Experience with HRIS systems required (Paycom, ADP or UltiPro).
PHYSICAL REQUIREMENTS
- Required seating or standing for extended periods of time. Must be able to remain in a stationary position 80% of the time.
- Required use of hands. Constantly operates a computer and other office equipment (calculator, copy machine, printers).
- Required verbal and written communication with employees and other external vendors. Must be able to exchange accurate information.
