Description
Woodholme Country Club, located in Pikesville, MD, is pleased to announce an excellent career opportunity for a part-time Executive Assistant! We are seeking a driven individual who is eager to learn, contribute, and grow within a fast-paced hospitality-focused property organization. As part of Troon, you'll contribute to a global leader in golf and community management.Pay Range: $18-$20 per hour
General Purpose:
Provides high-level administrative support in association with and as directed by the department manager. May also train, coordinate and/or supervise other office or clerical staff.
Essential Duties:
- Plans and executes HR initiatives and programs that support business objectives at the property level.
- Executes HR systems and processes including acting as a liaison with Corporate HR to ensure compliance with Federal/State and county laws.
- May coordinate schedules and conduct new associate orientation including benefits orientation.
- Serves as a witness to any disciplinary actions, suspensions and/or terminations, as needed.
- Coordinates FMLA/PLOA with Corporate HR Benefits department.
- Participates in reports workers' compensation claims to the carrier to be monitored and handled by Corporate Claims department.
- Acts a liaison between department managers and Corporate Payroll, as needed.
- Maintains original I-9's with copies of ID's and associates' emergency contact information.
- Maintains Associate Bulletin Boards and employment (federal and state) posters on property to ensure current and accurate information as posted accordingly.
- May implement policies and procedures for the Accounting function, including compliance of all Troon Golf accounting standards.
- Participates in maintaining the accounting and administrative controls so as to safeguard the assets of the company by reducing theft as well as internal fraud.
- Assists General Manager in preparing and monitoring annual budget, monitoring revenue goals as well as generating various (weekly, monthly, quarterly and annual) business volume forecasts.
- Participates in the preparation of monthly financial statements and schedules that identify actual, budget, variance and over/under based on the plan.
- May prepare and analyze various accounting reports such as accounts receivable, accounts payable, inventory, various general ledger and monthly financial statements.
- Performs daily revenue audits for revenue generating departments (i.e. Golf, Food & Beverage, etc.).
- May monitor and manage property cash flow and decides the appropriate timing of issuing payment to vendors. Alerts General Manager and Regional Controller when cash flow problems exist.
- Recommends to management the implementation of policies, procedures, processes and controls based on continual analysis of current accounting processes.
- Establishes accounting protocols and work flows for the property based on property needs, ensuring compliance with Troon Golf accounting standards.
- Monitors contracts with facility's vendors.
- May ensure collections and payments of applicable local, state, and federal taxes. Prepares monthly tax reports.
- May perform accounts receivable and accounts payable functions to include but not limited to: processing invoices, preparing statements, making payments, collections, reconciliation, and record keeping.
- Maintains, reconciles and audits petty cash, general bank account and cash banks. Monitors regular bank deposits and reconciles all bank statements.
- May serve as the property specialist/contact on matters relating to computer applications, procurement, annual and special audits, insurance and/or human resources.
- May perform other duties as assigned or needed
Education/Experience:
High school diploma or general education degree (GED) and three to five years of secretarial experience; or equivalent combination of education and experience. Previous experience working for senior level manager and/or supporting multiple managers.
Physical Demands:
Typical office environment, occasionally stands and walks, frequently sits. Typically requires routine use of personal computer and general office equipment.

Noise level is moderate.

No certifications or licenses are required.
Job Knowledge, Skill, and Ability Preferences:
- Ability to read and speak English in order to perform the duties of the job (e.g. the associates are required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English).
- Exceptional organizations skills; maintains accuracy and neatness; ability to multitask.
- Intermediate to advanced computer skills including, but not limited to, use of Microsoft Word and Excel.
- Ability to accurately type at least 50 words per minute.
- Ability to work independently with little or no supervision.
- Ability to communicate verbally and in writing. Ability to compose letters and to facilitate phone calls and general inquiries sensibly.
