The Allergy Lab Manager is responsible for overseeing the daily administrative and operational functions of the Allergy Laboratory to ensure efficient workflow, high-quality patient service, and compliance with organizational policies and procedures. This role focuses on coordination, workflow management, staff support, and administrative oversight. The position works collaboratively with providers, clinical staff, and administration to support safe, efficient, and well-organized laboratory operations.
This is a non-clinical role that does not perform or administer direct patient care, clinical procedures, or medical treatments.
Essential Job Responsibilities
- Oversee the daily administrative and operational functions of the Allergy Laboratory.
- Coordinate staffing workflows and assist leadership in maintaining efficient operations.
- Support clinical and laboratory staff with workflow organization and non-clinical daily tasks.
- Collaborate with providers, nursing leadership, and administration to develop and improve office and laboratory workflows.
- Promote teamwork, professionalism, and a positive work environment.
- Ensure timely, organized, and high-quality service delivery through operational oversight.
- Assist with onboarding and coordination of staff training schedules and materials.
- Coordinate patient communication support by ensuring staff provide clear, professional explanations of procedures and instructions.
- Ensure appropriate escalation of clinical concerns, patient reactions, or treatment-related issues to licensed clinical staff or providers.
- Monitor vaccine and laboratory supply ordering processes within Module MD and ensure inventory needs are met.
- Coordinate preparation workflows for patient vaccines and ensure tasks are assigned to appropriately clinical personnel.
- Coordinate scheduling and documentation processes related to immunotherapy and allergy treatment instructions, ensuring completion by appropriate clinical staff.
- Monitor preparation workflows for extract solutions and ensure compliance with expiration tracking protocols.
- Ensure accurate documentation of phone calls and patient-related communications in the medical record.
- Ensure proper escalation and documentation of patient incidents in accordance with office policies.
- Oversee care, organization, cleanliness, and maintenance of laboratory equipment and supplies.
- Assist with development, updating, and maintenance of laboratory protocols and workflow procedures.
- Type and distribute meeting minutes for laboratory staff meetings.
- Create labels and stickers for environmental and food vials prepared by laboratory staff.
- Create, revise, and maintain administrative forms and workflow documentation.
- Coordinate intradermal board preparation workflows and ensure assigned staff complete daily preparation tasks.
- Order office and laboratory supplies, including patient incentive items such as children’s stickers.
- Maintain cleanliness and organization of the laboratory on a daily basis.
- Support organizational goals by promoting patient rights and communicating operational concerns to leadership.
- Attend and participate in team and departmental meetings.
- Maintain strict confidentiality in accordance with HIPAA and organizational policies.
- Represent the organization in a professional and positive manner.
- Perform other administrative and operational duties as assigned by the Practice Administrator.
Education
- Bachelor’s degree in healthcare administration, business, or related field required
- CPR certification preferred (for general workplace safety preparedness)
Experience
- Minimum of three years of experience in a medical office, allergy practice, laboratory, or healthcare administrative setting preferred.
- Supervisory or team coordination experience required
- Experience with workflow coordination, scheduling systems, and electronic medical records required.
