The Administrative Coordinator for Engineering Entrepreneurship will provide essential day-to-day support to the Director of Engineering Entrepreneurship in implementing Villanova University's Entrepreneurial Education programs within the College of Engineering (CoE). This role contributes to the design and execution of program activities, stakeholder engagement, communications, mentorship coordination, and community-building efforts that promote entrepreneurial learning across campus.
A central responsibility of this position is the coordination and administration of the E2SI Abroad program, which includes managing student recruitment, application processing, course registration, travel logistics, safety and compliance, and seminar coordination. The Administrative Coordinator plays a key role in ensuring the smooth operation and growth of this global initiative, which is a cornerstone of the Engineering Entrepreneurship experience. In addition, the coordinator supports instructors (full-time faculty and adjunct) in the Engineering Entrepreneurship Minor by organizing events such as Pitch Day, field trips, workshops, and advisory board meetings. The role includes recruiting and scheduling guest speakers, mentors, and judges; maintaining directories and contact lists; updating websites and promotional materials; and collecting assessment data. The coordinator also collaborates with the College's communications team to promote program initiatives and assists with guest lectures and workshops that foster an entrepreneurial mindset in engineering students. Engage with E2SI Abroad partners to coordinate collaborative activities, maintain strong relationships, and support joint initiatives that enhance the global learning experience for students.
Assist the Director with annual donor reports, coordinating with University Advancement and implementing special events. Engage partners and connect them with student and faculty teams, and assist with planning activities including research, trainings, and projects
Manage events, judges, mentors, and guest speakers for the courses in the Engineering Entrepreneurship Minor program. Events sponsored by the program include but are not limited to, the Student Field Trips, Pitch Day, Engineering Entrepreneurship Advisory Board meetings and activities, workshops, and hackathons; help recruit entrepreneurs to be guest speakers, mentors, and judges for courses, competitions and workshops.
Perform administrative duties for the program including: scheduling meetings; keeping meeting minutes; maintaining contact lists; updating related web sites; assisting promotional program materials; assisting with the composition and updates for the mentor and alumni directories, and collecting and maintaining assessment data.
Assist the Director in providing guest lectures and workshops on the entrepreneurial mindset in the CoE engineering course as requested by faculty; assist the Director and the University / CoE communications staff in raising the positive profile of the program through the development of marketing materials, talks, interviews, articles, social media content, etc.
Administrative Support:
Coordinates and implements administrative processes for E2SI Abroad program activities including student recruitment, applications, course registration, travel logistics, safety and security, risk mitigation, compliance requirements, coordinating meetings and seminars, tracking students pursuing minors, course registration.
Communication and Marketing:
Work closely with the College's marketing and communication team to promote center activities. Assist with the preparation and implementation of communication strategies which includes print materials, podcasts and video recorded materials to highlight program activities.
Other:
Assist the Director in providing guest lectures and workshops on the entrepreneurial mindset in the CoE engineering course as requested by faculty; assist the Director and the University / CoE communications staff in raising the positive profile of the program through the development of marketing materials, talks, interviews, articles, social media content, etc.
Coordinate with faculty integrating entpreneurially-minded learning (EML) in core CoE courses.
Perform additional duties and assist with special projects as assigned.
Minimum Qualifications:Formal Education
Bachelor's degree
Work Experience
At least three years of experience working in an academic setting or an industrial entrepreneurial setting
Work Skills (e.g., written and verbal communication skills)
Excellent written, verbal and interpersonal communication skills. Ability to work with and gain the respect and confidence of students, faculty, staff, alumni, industry practitioners and administrators. Demonstrated marketing and public relations skills and ability to effectively manage multiple projects in a fast-paced environment.
Ability to work with the Director and Entrepreneurship program instructors to help create, edit and proofread syllabi, promotional materials, presentations and articles related to the Villanova Entrepreneurship program.
The individual must have a deep commitment to the University's Catholic/Augustinian heritage, and the advancement of its mission, and to serving the needs of a diverse community.
Specific Job Knowledge (e.g., knowledge of principles and procedures related to field and area)
Candidates must demonstrate a strong understanding of entrepreneurship, engineering, science, business or law. Candidates must possess knowledge of "best practices" in program design and management, leading to beneficial outcomes for students, professionals, and community members. Candidates must be proficient in all standard computer applications, including Microsoft Office products.
Equipment Knowledge
Standard office equipment (PCs, copiers) and software (MS Office).
Preferred Qualifications:Formal Education
Master's or above in engineering, science, business, law
Work Experience
At least one year of experience teaching entrepreneurship related courses at the university-level
Physical Requirements and/or Unusual Work Hours: a.)Tools, machinery and equipment used:
Standard office equipment
b.)Environmental conditions: (any unusual/adverse conditions such as exposure to chemicals, noise, illumination, air quality, weather exposure etc.).
The individual must be able to work in the environment of machine shops, tinkering labs, 3D printer areas, engineering and science labs. Able to travel to a variety of field locations in the US and abroad to interact with personnel at manufacturers, agricultural areas, sports arenas, transportation facilities, etc.
c.)Physical requirements: (items such as lifting, pushing, pulling, standing or sitting for extended periods of time, manual dexterity, walking etc.)
The individual must have the ability to set up equipment, materials and meals for competitions, workshops and presentations. This may require lifting 40 pounds of material from the floor to a table, and the ability to push a cart carrying 150 pounds of materials across campus.
