Job DescriptionVertex is seeking a highly skilled and adaptable Senior Administrative Assistant to support the Vice President of HR Business Partners and a team of HRBP Leads. This role is pivotal in ensuring seamless calendar coordination, stakeholder engagement, and operational efficiency across a dynamic and fast-paced organization. The ideal candidate will demonstrate exceptional judgment, discretion, and agility in managing complex schedules and interactions with senior leaders across Vertex.
In addition to administrative support, this role will serve as a central point of coordination for communications from HR Centers of Excellence (COEs) to the global HRBP community, ensuring clarity, consistency, and timely dissemination of information.
Key Responsibilities
- Provide high-level calendar management for the VP of HRBPs and multiple HRBP Leads, anticipating conflicts and proactively resolving scheduling challenges.
- Coordinate meetings with internal and external stakeholders, including senior executives, ensuring alignment across time zones and priorities.
- Serve as a trusted liaison between the HRBP team and other departments, maintaining confidentiality and professionalism.
- Support the diverse working styles of 7-8 HRBP leaders by tailoring administrative support to individual preferences and needs.
- Centralize and streamline communications from HR COEs to the global HRBP community, ensuring messages are clear, timely, and actionable.
- Prepare agendas, take meeting minutes, and follow up on action items to ensure accountability and progress.
- Manage travel arrangements, expense reporting, and logistics for team events and offsites.
- Assist with project tracking, document preparation, and internal communications.
- Contribute to a collaborative and inclusive team culture by anticipating needs and offering proactive support.
Education and Experience
- Bachelor's degree or equivalent combination of education and experience.
- Minimum of 5 years of administrative experience, preferably supporting senior leaders in a corporate environment.
- Experience supporting multiple stakeholders simultaneously.
- Advanced proficiency in calendar and stakeholder management, especially with senior-level executives.
- Strong organizational and planning skills, with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills, with the ability to tailor messaging to diverse audiences.
- High emotional intelligence and discretion in handling sensitive information.
- Proficiency in Microsoft Office Suite and enterprise scheduling tools (e.g., Outlook, Teams, Workday).
- Ability to build and maintain influential networks and relationships across the organization.
- Demonstrated agility in adapting to change and supporting multiple leaders with varying styles.
Pay Range:
$38 - $58
Disclosure Statement:
The range provided is based on what we believe is a reasonable estimate for the base salary pay range for this job at the time of posting. This role is eligible for an annual bonus and annual equity awards. Some roles may also be eligible for overtime pay, in accordance with federal and state requirements. Actual base salary pay will be based on a number of factors, including skills, competencies, experience, and other job-related factors permitted by law.

In this Hybrid-Eligible role, you can choose to be designated as:
1. Hybrid: work remotely up to two days per week; or select
2. On-Site: work five days per week on-site with ad hoc flexibility.
