Role Overview
The Office/Accounting Manager oversees the dealership’s day-to-day accounting and office operations in a fast-paced automotive environment. This role blends strategic financial management with hands-on accounting, leads both the office and accounting teams, ensures accurate records, cash flow, compliance, and strong internal controls, and works closely with department managers. As the financial backbone of the dealership, you will provide timely insights to support leadership decisions.
Key Responsibilities
- Review daily bank accounts, including vehicle payoffs, cash, credit card payments, and payroll items, ensuring accuracy and timely posting
- Generate and review the Daily Operating Control (DOC) to provide a snapshot of prior day sales, gross profit, cash positions, and operational metrics
- Monitor cash flow and optimize working capital to ensure smooth financing of inventory and operational needs
- Oversee month-end close and prepare complete financial statements, schedules, and composites for accuracy and compliance with accounting standards
- Monitor and maintain strong internal controls across sales, service, parts, and F&I; troubleshoot discrepancies and implement corrective actions
- Lead, supervise, and develop office and accounting staff, including hiring, training, performance feedback, and workload prioritization
- Manage accounts payable, accounts receivable, deal posting, titling paperwork, DMV remittances, and other administrative processes while maintaining proper documentation
- Audit new and used vehicle inventory and ensure compliance with factory requirements, state regulations, and dealer policies, coordinate with department managers on warranty submissions and parts inventory
- Identify opportunities to streamline workflows, improve accuracy and efficiency, and enhance customer satisfaction
- Support dealership leadership with special projects, ad-hoc reporting, and initiatives to strengthen financial and operational performance
Skills
- Automotive dealership operations, finance, and office management
- Cash management and internal controls
- GAAP and standard accounting principles, including preparation of financial statements and analysis financial reports
- Financial recordkeeping with exceptional attention to detail and accuracy
- Problem-solving and analytical thinking to resolve discrepancies and improve processes
- Excellent written and verbal communication for collaborating with department managers and leadership
- Strong organizational skills with the ability to prioritize workload during high-volume periods and month-end close
Qualifications
- 3–5 years of accounting and office management experience in a franchised automotive dealership
- Demonstrated success leading and developing office or accounting teams
- Solid understanding of GAAP with proficiency in Dealership Management Systems (DMS) such as CDK Global or Reynolds & Reynolds; Excel, and document management
- Experience managing cash flow, dealership floor plans, and financial reporting
- Excellent attention to detail, organizational skills, and problem-solving abilities, with the ability to meet tight deadlines

Compensation & Benefits
- $60,000–$80,000 depending on experience
