Description
As a member of Fox Rothschild's Talent Management Department, the Legal Recruitment Assistant works closely with the Legal Recruitment team to support the firm's attorney recruiting efforts. This position provides critical administrative and logistical support across all phases of lateral attorney recruitment, law student hiring, and the Summer Associate Program. The Legal Recruitment Assistant helps ensure a seamless and positive experience for candidates, attorneys, law school contacts, and the Legal Recruitment team.ESSENTIAL FUNCTIONS:
Lateral Attorney Hiring Support:
- Monitor the firm's applicant tracking system (ATS) daily for new applicants and track candidate statuses as candidates advance through the interview process.
- Create comprehensive application packets including all relevant application materials for initial review by Legal Recruitment Coordinators.
- Maintain a database of general (unsolicited) applications for consideration in future opportunities.
- Publish and maintain job postings for open positions across various websites.
- Track all open positions and update supporting documentation in applicant tracking systems as needed.
- Send communications to applicants (for both solicited and unsolicited applications), referrals, and search firm submissions as determined by the Recruitment team.
- Process background checks for all attorney hires and assist with pre-hire due diligence as directed.
Summer Associate Program Support:
- Provide administrative support as needed for the Summer Program Orientation, including updating written marketing materials, ordering and managing giveaway items, and facilitating additional logistics in collaboration with the Manager of Entry-Level Recruitment.
- Assist with logistics for social events, training programs, and other Summer Program events as needed.
- Track Summer Associate work assignments and assist with the collection of evaluations.
- Assist with scheduling Summer Program training programs and related programming.
- Provide administrative support for the Summer Program offer process, including tracking offer details and offer acceptances.
Law Student Hiring Support:
- Provide administrative support for the full law student hiring process, including application intake, interview scheduling, and offer administration.
- Assist with interview logistics for law student candidates, including virtual and in-office interviews.
- Support early engagement initiatives and activities such as recruiting receptions and virtual informational webinars.
- Conduct correspondence and follow-up with candidates as directed.
- Provide administrative support for on-campus events and activities, including preparation and mailing of marketing materials in advance of each event.
- As needed, be available for on-campus event support.
ADDITIONAL FUNCTIONS:
- Maintain various spreadsheets, databases, and central tracking systems (e.g., viDesktop, Flo Recruit, Microsoft Excel, and Microsoft Lists).
- Maintain search firm agreements and handle check requests.
- Communicate with outside vendors as needed.
- Assist with monitoring the recruitment budget.
- Assist with other miscellaneous projects and events.
- Overtime and regional travel may be required during periods of high workload.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):
Education:
- Bachelor's degree in related field required. A combination of education and prior work experience will be considered in lieu of a bachelor's degree.
Experience:
- 1-2 years of professional experience preferred.
- Experience with applicant tracking systems (such as viDesktop), Flo Recruit, and LinkedIn Recruiter a plus, but not required.
- Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word) required.
Knowledge, Skills, & Abilities:
- Strong verbal, written, and interpersonal skills.
- Outstanding organizational skills and strong attention to detail.
- Strong computer skills to manage applicant tracking systems, budget spreadsheets, databases, and recruitment event platforms.
- Ability to interact professionally and effectively with applicants, law students, attorneys, and business professionals at all levels of the organization.
- Ability to work well in a team environment.
- Ability to organize, prioritize, handle multiple responsibilities and projects simultaneously under strict time constraints, and meet deadlines.
- Ability to work well in a fast-paced, high-pressure environment.
- Flexibility to adjust hours to meet business and recruiting needs.
- Ability to travel locally or regionally as needed (up to 10%)
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
PHYSICAL REQUIREMENTS
Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
