Overview
We are seeking a meticulous, business focused professional who will supporting the broader Corporate Building Services team at ITT's Global Home in Stamford CT! This key incumbent will work in tandem with the group ensuring services are provided in a timely manner and equipment, services, supplies, and utilities function seamlessly in support of business operations. The ideal candidate must have exceptional hospitality experience and world-class customer service experience with all phases of project work, e.g., initial customer contact, funding procurement, sourcing, contractor management, construction supervision, executive meetings and punch list completion and overall budget support.
Responsibilities
- Assist in budget management; reforecasting, accruals, and POs; review invoice pricing and process payments in a timely manner; supporting one of the functions for PO creation and invoice processing.
- Assist in the monitoring and assessment of vendor performance.
- Provide exceptional facilities helpdesk services and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product.
- Assist in directing daily facility maintenance and preventative maintenance.
- Support the coordination of people moves; procures, schedules, and supervises contractors, suppliers, and vendors.
- Play a key role in special events, including Board of Directors meetings, work in tandem with other functional teams, ensuring proper set-up and breakdown coordinates with internal team and C-Suite
- Collaborate with administrative professionals for food deliveries and set up for all meetings; ensure timely delivery of food services, especially for Board members and Leadership team.
- Keep detailed tracking of all stock to ensure stock maintained, i.e., copier paper, copier toner, etc.
- Function as a dedicated emergency evacuation support for the floor lead the safe and orderly removal of occupants from a building during a crisis.
- Ensure overall cleanliness and tidiness in the facility including workstation, conference rooms/focus rooms/board room, pantry, bathrooms, copy areas, file room, wellness room, storage room and mailroom/mechanical room.
- Remain knowledgeable regarding operational aspects of building systems.
- Follow and communicate effective protocol for effective building-specific maintenance and safety procedures.
- Escalate issues quickly to manager ensuring speediest resolution.
- As needed, provide administrative support to our administrative professionals and, perform ad-hoc requests
Qualifications
- Bachelors' degree in facilities management or 3-5 years' experience in administrative services in a corporate environment with background in facilities management
- Possess a world-class customer service approach dedicated to providing the highest level of customer service, meeting the needs of the overall team using while demonstrating a can and will-do attitude.
- Some knowledge of accounting procedures, billing, A/V, construction requirements a plus
- Ability to work in a challenging environment with changing priorities; takes direction well and thrives in a team-oriented environment.
