Description
Office: : Office of FinanceReports to: Senior Budget Manager
Work Period: : 12 month
Hours: Full-time
Overtime: Exempt
General Summary: Provides strategic financial management and operational support for the Academic Affairs division. Serves as the primary budget manager for divisional, endowed, unrestricted, and sponsored funds, including post-award grant administration. Advises faculty, staff, and leadership on budgeting, financial planning, and compliance. Designs and maintains financial tracking and workflow systems, including Smartsheet tools, to support effective fiscal stewardship and regulatory compliance. Reports to the Senior Budget Manager in the Office of Finance and Administration.
Essential Job Functions:
- Manage and oversee Academic Affairs budgets, including operating, endowed, grant, and sponsored program funds.
- Lead the Academic Affairs budget planning cycle and support forecasting and financial reporting.
- Assist in the management of the overall college budget and forecast
- Advise faculty, department leaders, and senior staff on financial policies, procedures, and best practices.
- Oversee post-award grant administration, including budgeting, reporting, compliance, reconciliations, and closeout.
- Monitor sponsor regulations and ensure compliance with federal and state requirements.
- Design and maintain Smartsheet-based financial tracking systems, dashboards, and workflows.
- Manage contracts, vendor processes, reimbursements, payments, fund transfers, and purchasing activity.
- Prepare financial reports and analytics for leadership, auditors, and external agencies.
- Administer designated funds, student awards, and faculty support funds.
- Supervise work-study students.
REQUIREMENTS
Education: BA/BS degree required. Preferably in finance or accounting.
Experience: Minimum of 4 years managing budgets. Experience in grant administration preferred. Minimum of 2 years of grant administration experience (post-award experience preferred).
Knowledge/Skills/Abilities:
- Advanced Smartsheet and Excel experience required
- Strong interpersonal and intercultural skills and ability to interact in a positive, helpful manner with a wide variety of personalities and constituencies.
- Strong finance acumen and analytical skills
- Proficiency with Microsoft Word, Excel, PowerPoint, Smartsheet, and grant-related research tools.
- Strong time management, project management and organizational skills required, with the ability to prioritize and adapt.
- Ability to work both independently and collaboratively across departments and constituents with minimal supervision.
- Ability to maintain confidentiality, and abide by the Agnes Scott Honor Code.
- Excellent fiscal, analytical skills, outstanding editorial and proofreading abilities.
- Must be able to communicate effectively with others
- Exceptional attention to detail.
PHYSICAL DEMANDS
Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects. Work is performed in an office.
