Nexus-Gerard is looking to add a Temporary Admissions Specialist to join our residential team!

Pay/Schedule:
- Starting Salary: $19.00 - $23.00
- Temporary Full-time, Monday - Friday
Position Summary: Coordinate the admissions process for the academy ensuring that all appropriate documentation is completed and assist in the effective communication between all parties involved to facilitate a smooth transition into the facility for the youth being served, while also insuring appropriate reimbursement for the academy.
Client Referral Process
- Coordinates the referral process for all youth referred to the academy including notification and ongoing contact with insurance providers regarding prior authorization and ongoing authorization of treatment services.
- Consults with the academy treatment team regarding youth diagnoses, medical necessity/need for treatment, expected length of treatment, and necessary case documentation.
- Assists in the completion of all aspects of the admissions process, including meeting with youth, families, and/or referral sources, when appropriate, prior to or upon the youth's admission to the academy.
- Demonstrates exceptional oral and written communication with internal and external audiences; demonstrates professionalism and ethical conduct at all times with clients, youth, visitors and staff.
- Advises program staff regarding the timing and details of new admissions; demonstrates proficiency in all administrative admissions processes to support the timely admissions into the agency and program.
Client & Agency Admissions & Documentation Process & Compliance
- Ensures client admission data and clinical documentation for new admissions is procured in compliance with all county, state, federal, and private insurance requirements related to treatment appropriateness, medical necessity, and appropriate case documentation.
- Works closely with clinical teams to ensure the documentation meets insurance provider criteria for preauthorization and ongoing authorization of treatment services.
- Reconciles and follows up with staff members on clinical documentation discrepancies pertaining to insurance reimbursement.
- Advocates with insurance providers for the need for client treatment prior to admission and for continued stay.
Insurance Provider Relationship Management
- Collaborates with insurance providers to ensure diagnostic coding meets public and private provider expectations and generally accepted standards.
- Responds to insurance providers regarding issues related to diagnostic coding and/or other factors that could impact payment for services rendered.
- Consults with insurance provider as needed to resolve outstanding issues related to insurance reimbursements.
- Assists internal and external customers (including insurance providers) as appropriate, to understand and navigate the systems of services and supports of the academy.
- Provides training and information about insurance provider documentation requirements to clinical, supervisory, and management staff as requested.
- Participates, when appropriate, in team review of client treatment plans to ensure that services meet generally accepted requirements as set by Department of Human Services (DHS), and/or Department of Corrections (DOC).
- Participates in state and federal audits (as applicable) of programs to ensure the Agency is in compliance.
Public & Community Relations
- Assists with public relations activities to promote the academy within the community, as well as with existing and potential referral sources.
- Collaborates with funders, including counties, public and private insurance providers and families to ensure the program services are fully funded for all youth placed at the academy.
- Coordinates booth rental space and transportation of booth and materials, if warranted, for conferences.
- Represents the academy in a professional, knowledgeable manner when assisting at conferences by staying up-to-date on all program milieus and various clinical services provided by the academy and Nexus.
- Completes or assists with the completion of annual surveys and census questionnaires requested by referral counties and states; speaks to survey responses and outcomes with leadership as needed.
- Creates and places ads for newspaper, conference and other advertising venues as needed and requested.
- Attends staff meetings and required training sessions; understands and supports the Nexus philosophy and treatment modalities.
Academy Policy, Procedure, Training & Compliance
- Ensures the confidentiality regarding client/resident issues, background and treatment and comply with Nexus policies involving resident privacy and confidentiality rules for residents and their families.
- Exhibits a spirit of cooperation and the ability to effectively participate in work teams; complies with all corporate and site policies and procedures.
- Displays ethical conduct and professionalism at all times with external visitors and internal staff and clients; interacts with and appreciates people from diverse cultures, socio-economic backgrounds, and spiritual/religious affiliations.
Demonstrates thorough and applicable knowledge of all Nexus policies and procedures.
Required Education and Licensure:
- High School diploma required
- A minimum of 3 years related experience required, preferably within a residential or clinical setting.
- Proficient with all Microsoft Office products including Outlook, Word, Excel and Access.
- Familiar with accounting software.
- Valid driver's license required. Must meet state regulating agency and Home Office driving requirements
